Associate Account Executive

Associate Account Executive

Job Description 

Summary:

 

This position functions as a member of the Client Services Team and reports to the Account Manager.

 

This key role will provide day-to-day service support to Account Manager and Account Executive as well as manage small to mid-size shows on their own once training is completed.  This role is expected to work independently and in a team setting. 

 

Other responsibilities include various administrative tasks which support the day to day efficient operation of the customer service team. 

Priorities:

  •  Provide support to the Customer Service Team you are assigned too.
  • Upon completion of initial training, take on managing small size shows
  • Special Projects as requested
 Required Qualifications/Skills:
  • 2- 4 year Degree or equivalent job experience
  • Strong organizational skills with the ability to handle multiple concurrent projects
  • Strong computer proficiency in Microsoft Office
  • Exceptional communication skills on the phone and in person
  • Must possess the capacity to problem solve and think proactively
  • Effectively uses a variety of written and oral communication methods
  • Must be a highly motivated self-starter
  • Must have a sense of urgency to obtain results, consistently meet deadlines and produce
  • Accurate work
  • Strong customer service skills

Principal Activities:

 

Small Show Management:

  • Program Manage small shows
  • Work with Minibooth group on combined projects
  • Write Project Requests to initiate show planning
  • On-going communication with customers
  • Prepare shipping requests
  • Keep Checkbook for customers up-to-date
  • Communicate customer needs internally and follow through
  • Update Excel estimates to customers
  • Manage listings of client inventory

Team Administrative Support:

  • Setup client and MSM meetings for AM/AE/AAE
  • Attend client and MSM meetings and prepare meeting notes/action items for distribution
  • Update equipment charts for shows based on revisions to floorplans
  • Track equipment/product received for shows
  • Prepare shipping requests
  •  Update client Excel pricing per AM/AE direction
  • Prepare internal Design Requests w/AM/AE - setup kickoff meetings
  • Manage Pre-billing for all shows on your team
  • Monitor timelines for AM/AAE shows
  • Manage listings of client inventory
  •  Travel to shows for team back-up
  • Take on unexpected projects (labeling staff shirts, preparing staff treat bags, etc.)

Key Challenges:

  • Work is assigned from more than one person, so prioritization and communication is essential.
  • Workload must be managed around customers as they are the first priority.
  • Multi-tasking is a key skill set for this role.
  • To become efficient as an AAE in order to move up with time and experience to an AE level.

Performance Measures:

  • All internal and external customers provide positive feedback on this employee with regard to their listening/communication skills, accuracy and attention to detail, flexibility to adapt to change, and their ability to be proactive and anticipate the needs of others (as evidenced on 3-month performance evaluation).
  • Work with your team to ensure backup is provided when you are absent and that your projects are complete before leaving. Backup process and coverage while you are out must be reviewed and approved with Account Manager.
  • Develop a proactive invoicing scheduling system for upcoming shows; document the system and share with Account Manager within 45 days of hire
  • Must effectively manage assigned smaller shows; effectively is defined as within budget and with a high level of internal and external customer satisfaction (customer will be surveyed after each show to ensure this performance measure is met).
  • Time management will be measured in the following areas:

          o        On-time for work each day

          o        Quick response rate to customer requests

          o         Multi-tasking of projects at a given time

          o         Efficient process improvements made to your position

As such, MSM believes that attitude is an important performance criteria and it is incorporated into our performance evaluation process and will be measured accordingly.
